The secret to a family reunion at the beach is starting early: pick dates about 12 months out, lock in the house as soon as most of the family agrees, then work through rooms, meals and travel in the months that follow. Use the checklist below, month by month, and arrival day takes care of itself.

I'm Dipen, and I host Topsail Paradise, a house for up to 22 guests in North Topsail Beach, about a two-block walk from the beach. Reunions are some of my favorite stays to host, and the families that plan in steps have the easiest weeks. Here's the checklist I'd hand any reunion organizer, whether you stay with us or not.

When should you start planning a family reunion at the beach?

About a year ahead for summer, and 6 to 9 months ahead for fall, winter or spring. The hard part of a reunion is the calendar, not the house, and big houses that sleep 20 or more are rare, so their summer weeks go first.

If your family can be flexible, an off-season reunion is worth a look. At our house the minimum stay drops to 3 nights from October through April, check-in days are more flexible, and pool heat is free and self-serve from October 1 to May 15.

What should you do 12 months before the reunion?

  • Name an organizer. One person to hold the booking and the money, with a helper or two.
  • Draft the guest list. Count households, adults, kids and babies. Note anyone who needs a first-floor bedroom or an elevator.
  • Pick two or three date options. Poll the family and go with the majority.
  • Set a budget range. Decide early how you'll split the cost: by household, by bedroom or by person. Our cost-splitting guide walks through each approach.

What should you do 9 to 10 months before?

  • Book the house. Check live dates on our booking page. Booking direct saves 15%, and you'll see the full total, including the cleaning fee and tax, before you pay.
  • Share the cancellation policy with every household before anyone pays a share. At our house, cancelling 60 or more days before arrival gets a full refund, 30 to 59 days out refunds half the rent, and inside 30 days the rent is kept.
  • Collect shares. Ask each household for its part soon after booking, so the organizer isn't carrying the whole cost.
  • Consider travel insurance for reunions from June through November, hurricane season on the Atlantic coast.

What should you do 6 months before?

  • Assign bedrooms. Our bedroom layout shows all 8 rooms. A setup that works for many families: households with little kids take the two third-floor master suites, each with a king and a kids loft of 3 twin beds. Grandparents take a queen room with a private bath, and the teens take the bunk room.
  • Plan travel. Who's driving, who's flying, and who's picking up whom. Wilmington International is about 49 miles from our house, and Albert J. Ellis Airport near Jacksonville is about 37 miles.
  • Check accessibility needs. The outside elevator runs from the ground floor to the first and second floors. The third-floor masters are reached by stairs.

What should you do 3 months before?

  • Book tours that sell out. The Karen Beasley Sea Turtle Rescue and Rehabilitation Center in Surf City offers guided tours by reservation only, and big groups should email the center first. Our sea turtle season guide has the details.
  • Sketch a loose plan. One shared outing, one group photo, one big dinner. Leave the rest of the days free. Our things to do guide has ideas by season.
  • Order anything custom, like matching shirts for the photo, so it arrives in time.
  • Decide on the golf cart. Topsail Paradise offers an optional 6-seat golf cart add-on for short trips on the island (see the golf cart page for pricing). Military families who book direct get the cart free.

What should you do 1 month before?

  • Confirm the final headcount. The house sleeps up to 22 overnight guests, and the house is for overnight guests only, so the headcount is the guest list.
  • Count the cars. Our driveway fits 6 to 8 cars, with more parking along the side. Carpooling helps, and with the beach about a two-block walk, most cars stay parked all week.
  • Make the meal plan. Assign each household a dinner. The full kitchen, 2 charcoal grills and a ground-floor freezer mean three cooks don't collide, and the table and counter seat about 10 to 12, with the deck for overflow.
  • Share house rules. No pets, no smoking inside, and a maximum of 22. Check-in is 4 PM and checkout is 10 AM.

What should you do the week before?

  • Check the forecast and send a packing note: beach chairs, sunscreen, car seats or boosters for little ones, and layers for cool evenings.
  • Plan the grocery run. The Food Lion in Sneads Ferry is about 7 miles from the house, roughly 13 minutes. One big run on arrival day, then use the freezer.
  • Send the arrival plan. Who arrives first, who brings what, and where everyone parks.

How do you make arrival day and the last day go smoothly?

  • Arrival day: the first car in takes the grocery run while others unload. The elevator saves a lot of trips with luggage and coolers. The 2 washers and 2 dryers handle beach towels by midweek.
  • Group photo: plan it for late afternoon on the beach, about a two-block walk.
  • Last full day: split the cleanup jobs, start the laundry the night before, and plan a simple breakfast so everyone is out by the 10 AM checkout.

Why choose one big house for a family reunion?

Because the best moments happen in the shared spaces: the long table, the pool and the hot tubs after dark. At Topsail Paradise, the second floor is the gathering floor, with the kitchen, dining area and a large open family room. The private saltwater pool and 2 hot tubs are steps away.

See how the whole house works for a big group on our large group beach house page, then check dates on our booking page and save 15% by booking direct.

Here's to a reunion everyone talks about until the next one.

Questions, answered

How far ahead should you book a family reunion house rental?

For a summer reunion, start about 12 months out and book as soon as most of the family agrees on dates, since summer weeks at big houses go first. Fall, winter and spring reunions have more flexibility, but booking 6 to 9 months ahead still gives you the best choice of dates.

How many people can stay at Topsail Paradise for a reunion?

Up to 22 overnight guests, in 8 bedrooms and 6.5 baths, counting real beds only with no sofa beds or air mattresses. The house is for overnight guests only, so plan the guest list around the people staying.

What is the minimum stay for a reunion at Topsail Paradise?

From May through September the minimum is 7 nights, with Saturday to Saturday preferred; ask about other start days. From October through April the minimum is 3 nights, so a long weekend reunion works well in the off-season.

What is the cancellation policy?

Cancel 60 or more days before arrival for a full refund. Between 30 and 59 days out, half the rent is refunded, and inside 30 days the rent is kept. For reunions from June through November we recommend travel insurance, since that's hurricane season.

How do families split the cost of a reunion house?

Most families split by household or by bedroom, with one person booking and collecting shares. Our guide to splitting a multi-family beach house walks through simple ways to divide the cost fairly.

Is the pool heated for a fall or spring reunion?

Yes. Pool heat is free and self-serve from October 1 through May 15, so you turn it on yourself. It's warm but not spa-hot, and the 2 hot tubs are there for cooler evenings.
